Fixed Monthly Costs
Save ongoing monthly costs like rent, subscriptions or insurance. They are included automatically in net profit only for the months where they are active.
Start Date means the first month this payment is included in Financials.
End Date means the month it stops. Leave End Date empty for ongoing costs like rent, wages or insurance.
If the amount changes later, edit the payment and set the new Start Date; the old value is kept for historic months.

Extra Technician Labour Cost
Add extra internal labour paid to technicians that is not part of a single invoice payment modal. This is counted as a Financials expense and reduces net profit.
Extra Parts Cost
Add the real cost paid by the garage for parts. This is counted as a Financials expense and reduces net profit.
Add Money Out / Supplier Payment
Use this for supplier payments, rent, tools, insurance, utilities or any business cost. Keep it simple: payment date, supplier, amount paid and note.
For the simple report, enter the date when money actually left the business. Old detailed fields stay saved in the background but are not needed for daily use.

Create Job
Create / Update JobCreates a new workshop job or updates the selected job when you are editing an existing booking.
Clear FormResets the Create Job form so no old customer, vehicle, task, ramp, or note data is accidentally reused.
JUST DROP-OFFLegacy-only records remain supported for old entries. New bookings should use normal jobs, or DROP-OFF when the vehicle arrives earlier than the booked work slot.
Allocated SlotsControls how much workshop time is reserved. 0.5 means 30 minutes, 1 means 1 hour, 1.5 means 1 hour 30 minutes.
DROP-OFFUse when the customer leaves the vehicle earlier or on another date, but the actual workshop booking is still at the main job date and time.
URGENTHighlights the job as high priority on the screens so the team knows it needs attention.
MAJOR REPAIRMarks the job as a multi-day or complex repair. It appears in the Major Repairs section immediately and stays there until Done or resolved.
Front Ramp / Back RampAssigns the job to a ramp. If no ramp is selected, it stays as None.
Parts NotesUse for notes about parts, ordering, supplier details, or anything useful for the workshop. This replaces the old parts status dropdown.
GarageSelects which garage the job belongs to. Leyton is the default. Stratford jobs can be filtered in the calendar and are highlighted on service screens.
Booking ForSelects what the booking needs: Service, Repair, Diagnostic, Electrical, MOT, or a combination. Service/Repair share one capacity pool, Diagnostic/Electrical share one pool, and MOT stays separate.
Booking Availability LineShows capacity for the selected garage, date, time and booking selection. Manual admin booking can override full capacity only after a clear confirmation.
Manage Quick TasksLets you add, edit, or delete standard tasks. The task list is kept in alphabetical order.
Standard Tasks SearchFilters the standard task buttons instantly while creating or editing a job, so common tasks are easier to find.
Client LinkCopies or opens the client booking response link so the customer can confirm, request a change, or cancel.
Print Job CardPrints a physical job card for the workshop with vehicle, customer, task, notes, and history information.

Card Colour ButtonMarks a calendar card with a colour so important jobs stand out visually.
Ramp ButtonChanges the assigned ramp directly from the calendar card.
Status ButtonChanges job status. When marking Done from admin, you must choose if the vehicle was picked up or stays in parking.
Copy Booking MessageCopies a smart customer confirmation message with date, time, vehicle, and booking response link.
WhatsApp ButtonOpens WhatsApp for the customer number saved on that job.
Vehicle History ButtonOpens a popup from the calendar card with previous jobs, task status, client notes, office / workshop notes, mechanic findings and activity. Use Print History inside the popup to print the full record.
Payment ButtonBefore opening the payment window, the system asks staff to confirm they are adding a payment for the correct vehicle.
Print Job CardPrints the same workshop job card format used from Create Job, including garage, vehicle, customer, tasks, notes and history.
Completed Work ReportAvailable after a job is marked Done. Prints a customer-facing completed work report with completed tasks and mechanic notes, without exposing internal worked hours.

Create Job From RequestUses the request details to prefill Create Job, then removes the request from the queue after the job is created.

Major RepairsShows active major repair jobs from the moment they are marked major repair until they are Done or resolved. Use this section to track long repairs without crowding the calendar.
Major Repairs: ReadyMarks a major repair as ready inside the Major Repairs list, so the office can see it needs final attention.
Major Repairs: ParkingMoves the vehicle into Cars in parking and asks where it is parked.
Major Repairs: DoneUses the normal Done flow and asks if the customer picked up the car or if it stays in parking.
Major Repairs: ResolveRemoves the job from Active Major Repairs without deleting the job.
Cars in parkingShows vehicles kept on site after completion or after drop-off arrival until someone marks them picked up.

ACM + Romanian FilterInside Unpaid Invoices, ACM + Romanian includes ACM MEAT FACTORY LTD / ACM MEAT FACTORY plus ROMANIAN PRODUCT DISTRIBUTION LTD because they are chased together. Use ACM only or Romanian only to split them.
Refresh Unpaid InvoicesReloads the unpaid invoice list after payments are entered or corrected.
ACM Service Reminders
ACM Service RemindersTracks ACM MEAT FACTORY LTD / ACM MEAT FACTORY vehicles and estimates when each vehicle should return for oil/filter service.
Reminder BadgeThe small badge on the ACM button shows vehicles that are due soon or overdue, so the office knows attention is needed.
Last Service DateThe date when the vehicle was last serviced. This is the starting point for the next reminder calculation.
Last Service MileageThe mileage at the last service. If the latest same-day Clients mileage is higher, ACM uses the higher mileage so the reminder is realistic.
Miles / WeekApproximate weekly mileage for that vehicle. Different ACM vehicles can have different weekly mileage estimates.
Service Interval MilesHow many miles after service the vehicle should be called back. Default is 6,000 miles.
Warn Before MilesHow early the system should warn the office before the next service mileage. Default is 500 miles.
OK / Due Soon / Overdue / Needs SetupOK means not due yet. Due Soon means call soon. Overdue means call now. Needs Setup means required mileage/service fields are missing.
Copy MessageCopies a service reminder message in English and Romanian, ready to paste into WhatsApp, SMS or email.
WhatsAppOpens WhatsApp for the saved ACM contact number. Use Copy Message first, then paste the bilingual reminder.
Mileage SyncMileage moves forward across Clients, Jobs, Client Intake, Vehicles DB and ACM. A lower mileage will not overwrite a higher saved mileage.
SMS Gateway
SMS SectionOpens the SMS dashboard with pending, queued, processing, sent today, delivered today, failed today, failed total and oldest pending counters.
Send SMS FormLets staff send operational service messages only. It supports Booking confirmation, Job in progress, Job ready and Custom message templates.
SMS ChipCalendar cards show SMS status when a message has been queued: Pending, Queued, Processing, Sent, Delivered, Failed or On hold.
Message ButtonThe small message icon on a calendar card opens the SMS form pre-filled for that job so staff can review the message before sending.
Reschedule SMSWhen moving a booking in the calendar, the Move Job popup has a Send reschedule SMS checkbox so staff can notify the client with the new date and time.
Done / Collection SMSWhen a job is marked Done, the system asks whether to send a collection SMS to the customer.
Pending JobsThe red Pending Jobs column keeps unfinished jobs visible across calendar weeks. Moving a job there asks for an internal reason and does not send an SMS.
Refresh SMSReloads the local SMS history and dashboard counters. Individual messages also have Refresh Status to ask the gateway for the newest status.
No MarketingThis bridge is only for operational customer service messages, not advertising or marketing campaigns.
Pair SMS GatewayGod users can generate a pairing code for the Android SMS Gateway phone. The code is copied automatically and expires shortly.
Gateway Not ReadyIf the bridge is not configured yet or the phone is not paired, jobs still save normally and the SMS action shows a clear error/status.
Financials & Cash Drawer
FinancialsShows Money In, Money Out, Profit, outstanding, staff salaries, supplier payments, monthly costs, and invoice/payment breakdowns.
Financials HelpOpens a focused guide inside Financials with the formulas and field meanings for money reports.
Money InOnly counts money actually collected from customer payment entries. Outstanding stays separate and does not count as profit.
OutstandingClient money still to recover. For invoice jobs, it should be calculated from invoice total minus saved payment entries.
Cash DrawerTracks expected physical cash in the drawer from cash customer payments minus drawer withdrawals from the drawer start date.
Withdraw CashRecords cash taken from the drawer, including date, amount, person, reason, and note. The drawer cannot be withdrawn below zero.
Drawer HistoryShows cash in and cash out ledger history. Void is used only to correct a wrong withdrawal record.
Eugen Withdrawal PINWhen Eugen is selected, the reason becomes Boss withdrawal and the boss PIN is required. Voiding Eugen withdrawals also requires the boss PIN.
